Service businesses (healthcare, food, beauty salons, consulting, home services) struggle with appointment confirmations and rescheduling at scale. Manual calls are time-consuming, expensive, and error-prone. Staff must handle repetitive confirmation calls, manage rescheduling, track slot availability across providers, and support multilingual customers (e.g. Hindi and English).
How we worked
Our approach
We built the Voice Agent Appointment Management system to automate the full appointment lifecycle using AI, NLP, and automated call handling. The system automates confirmation and rescheduling calls, manages slot availability in real time, and processes call outcomes with high accuracy via transcript analysis and status detection.

The solution
Intelligent voice agent (Tara) conducts natural conversations in English and Hindi with appointment confirmations, rescheduling, cancellations, and edge cases. The system detects 13 appointment statuses and 5 call statuses with priority-based logic, checks business hours and provider availability to prevent double-booking, and suggests alternative slots. Post-call processing includes transcript retrieval, slot booking, data updates, SMS notifications, and scheduler queue management. TTS-friendly date/time formatting for voice.
